Managing Spam

Jeffrey VanOuwerkerk - Monday, April 11, 2011

What is Spam?

Def. Spam or Junk mail: Any unwanted, and usually unsolicited mail you receive.

What can you do about Spam?

Use a spam filter. Yahoo, Google, Hotmail, Kerkian Consulting webmail online and most personal computer based mail programs like Outlook, Entourage, Mail and Thunderbird all have Spam filters and settings you can customize.

Online services like Yahoo, Google, Hotmail and Kerkian Consulting webmail have built in spam filters. The settings for your Spam filter are generally nondescript terms like "default", "normal", "medium" and "high". Depending on the online services these filters can be further customized.

A great thing about using Online services is that they usually work with a thing call a "Whitelist" and a "Blacklist". There are internet White and Black lists that help ID spam. Marking something as Spam with these services can add that senders address to the Spam list in cases of inappropriate messages of a sexual or violent nature.

If you are using an Internet Spam Filter in combination with POP3 access to access your email through a personal computer based mail program a common oversight is not checking the online Spam filter.
The Online service maybe routing your messages to a Spam folder before they are downloaded to your computer email program.
The impact: Not knowing what the system is listing as Spam - You might miss an important message.

The solution is to either turn off the filter or have the spam filter email sent to the inbox on the web based email system.

Small Business Search Engine Optimization (SEO)

Jeffrey VanOuwerkerk - Thursday, March 31, 2011
A critical challenge to the small business is competition with "big-box" storefronts like Amazon.com.
To address these concerns it isn't enough to have a good looking site. The real work of marketing on the web has to do with Search Engine Optimization (SEO).

Kerkian Consulting has experience in SEO. We take a small business buried in Google, Bing and Yahoo! pages and bring it to the foreground without  having it pay for web campaigns or marketing. How do we do this? Hard work!  Yes, really!   Kerkian Consulting is committed  to designing web business processes that drive traffic to the site.

Google is smart. They want to deliver legitimate businesses to their customers. They don't just look at meta-tags.
  • They look at site traffic,
  • Domain name longevity,
  • Broken links,
  • Page design code errors,
  • Page latency (the time it takes pages to load) and a host of other factors.
This is where Kerkian Consulting excels. Our key differentiator: we are more than a design firm, we are a business consulting agency. We design the customer experience to ensure that customers return to your site.  We ask questions.  We drive web traffic..
  • Are the products on the site searchable by search engines like Google, Bing, and Yahoo!?
  • Can customers globally search the site to find the desired product?
  • What about feedback and product ratings? Can customers provide reviews of products and services?
  • Can your customers log in to your site to see their recent purchases? Past bills? Questions they have asked and the answers you have given them?
  • Can they see a list of their favorite products?
When Kerkian Consulting designs your storefront these critical components drive traffic and increase your search engine ranking. Our Business Tools and easy Back-office Solutions provide the tools you need to establish your web presence.

Working with Volunteer Organizations

Jeffrey VanOuwerkerk - Thursday, March 31, 2011
One of the most fulfilling aspects of this business is the people we meet. Kerkian Consulting began working with Humanity Road, Inc., a non-profit digital disaster relief organization on February of 2011.

We began developing a new website that we where able to launch in just 1 week.  Though the hours were very long, it is some of the best work we have done. It is truly a global organization.

Our focus has been on providing tools on the website to meet the needs of Humanity Road volunteers. We developed a Volunteer Portal allowing volunteers to search by skill set for others that are interested in working on disaster relief linking need with interest and skill.

  • Because volunteers are central to the organization, we designed tools to allow volunteers to post public facing profiles with a picture right on the site.
Twitter is used to get the word out during a disaster. Coordinating and communicating to the public is a primary goal of Humanity Road. Kerkian Consulting incorporated the Humanity Road twitter feed on the home page of the site and created a twitter feed in the volunteer portal for our volunteers to see the most current volunteer communications.
  • Next steps:  testing Twitter feed search criteria - creating pages that monitor Twitter and continually search for key disaster relief phrases all over the world.

Text Messaging - PC to Cell Phone

Jeffrey VanOuwerkerk - Friday, May 28, 2010
Sending the customer an email using email to text messaging technology.

In this article:
We will be discussing the use of cell phone numbers in the email for customers that don't have email.

Legal Disclaimer:

This article is for general purposes only and may be used as a high level guide to other resources on the web. No information contained may be construed as legal advice or guidance. Your state or local authorities may have additional information. As always, when filing legal or tax documents you should have them reviewed by counsel or a tax professional.

So you have a customer that needs to receive reminders, but they don't have an email address.
There are different ways you can accomplish this goal. By far the easiest way, and the cheapest, is to send the customers email to their cell phone number like [10-digits]@provider.net

Their are 3 basic steps you'll want to complete to set this up:
  • Know the customers cell phone provider
  • Type in the primary e-mail address for the customer the 10-digit phone number the "@" symbol and the providers email to text portal.  e.g. 1234567890@mymetropcs.com - Here is a list we've compiled for you.
  • Setup a text only email list. (This is important as most providers won't convert an HTML message to a text message.

Sending a customer a text message from your website

Using this method, the customer will not receive Newsletters or other HTML messages.  The technology functions much like a text message:
  • The customer may incur a usage fee for text messages from their cell phone provider. (We don't charge for using the above method, however cell phone providers do charge their customers for text messages.  Several customers have unlimited texts and this isn't a concern for them - but you will want to make sure that your customer you their permission.
  • Our list of providers e-mail messages is based on internet and provider research. Providers are notorious for changing this information without notification, so be sure to follow-up with customers and make sure they are receiving your text message reminders.

Creating a Non-Profit

Jeffrey VanOuwerkerk - Monday, May 17, 2010
In this article:
We will be discussing the formation of a non-profit entity, specifically a 501c3.

Subscribe to Non-Profit News!

There are several sources on the web to help you get started. In the past all forms had to be submitted via the mail or private delivery service.  The IRS is rolling out a new "Cyber Assistant" that will guide you through the process of online submission.

The fee's associated with filing for a 501c3 can be over $850.  When you use the Cyber Assistant you will enjoy a dramatic reduction in the fees.  According to form 1023 issued Jan. 3 2010, the fee using the Cyber Assistant will be $200.

Testing of Cyber Assistant identified some functionality requiring correction prior to launching the program publicly.  In light of  that, the IRS has made the necessary choice to delay the release of Cyber Assistant beyond this calendar year.  They will continue to receive and process all applications using their existing processes .

You can sign-up for the Exempt Organization (EO) update newsletter to automatically receive the alert that Cyber Assistant is available by clicking here.

Current fees for Exempt organizations are:

Issue/Type of Request  Office of Jurisdiction  User Fee

Exemption application (Form 1023, 1024, or 1028)

EO Determinations
  • Organizations with annual gross receipts < $10,000 during preceding 4 years

$400
  • Organizations with annual gross receipts ≥ $10,000 during preceding 4 years

$850
  • Group exemption requests

$3,000
Accounting method changes  EO Technical  $275
Accounting period changes    $350
Qualified subsidiaries of section 501(c)(25) organizations
 $2,250
Letter rulings
 $10,000

If your organization is just starting out you can still file for a 501c3.  To do so you make good faith estimates on what you expect your gross receipts to be. Don't under-estimate here to save costs up front, doing so will result in additional costs for your organization.

If you have already downloaded the form and want to fill it out and mail it in you can do so by printing it out or using Adobe Reader. As a PDF this document is a kind of "form" in Adobe.  This way you can type in your responses right on the form and then print it out.

If this sounds like a task you would rather pay someone else to assist you with, then your not alone.  There are several companies that provide services to walk you through the process of setting up you Non-Profit organization.  Some of those companies are Legal Zoom and Lolo.

I've used Legal Zoom's services in the past and have been pleased.  Lolo is also a well respected provider and deservers a close look.

I hope this information got you started on the right foot.
